Phoneo customer and vendor record with contact details and ID proof

What is party and customer management?

A party is anyone your shop does business with — a customer buying a phone, a vendor supplying stock, a dealer you trade with. Party management means keeping one record per party that holds everything about that relationship rather than spreading it across a contact list, a bill book and an udhar diary.

In Phoneo that record carries the party's details and ID proof, everything they have bought or sold you, what they have paid, what is still outstanding, and a running ledger of every transaction between you.

Who is it for?

  • Shops buying second-hand phones from walk-in sellers
  • Retailers giving credit to regular customers
  • Shops dealing with several vendors and distributors
  • Owners who need to find a past customer quickly

The problem it solves

The information about one customer ends up in four places. Their number is in your phone, their purchase is in the bill book, their udhar is in a diary, and their ID proof is a photo somewhere in your gallery.

When something goes wrong — a warranty claim, a disputed balance, a question about a used phone you bought — assembling the full picture takes longer than resolving it should.

How it works

  1. Add the party

Create a customer or vendor record with contact details, and upload ID proof where you need it.

  2. Trade normally

Sales, purchases, credit and payments attach themselves to that party as you work.

  3. Check the position

Open the party to see purchase history, sales history, payments and the outstanding balance.

  4. Produce a statement

Pull the party ledger or account statement when you need to settle up or answer a question.

Features in detail

Customer and vendor records

Every party gets one profile holding their contact details and notes. Customers and vendors live in the same system, which matters in mobile retail because the same person is often both — someone who sells you a used handset this month and buys a new one from you next month.

Profiles are searchable by name, phone number or ID details, so finding a past customer at the counter takes seconds.

ID proof records

ID-proof images can be uploaded and linked to a party's profile. For a shop buying second-hand phones this is the record that protects you: it ties a specific handset to the person you bought it from, which is what you need if the device is ever queried.

The documents are stored against the profile and available to authorised users, so the evidence is retrievable rather than lost in a phone gallery.

Purchase and sales history

The party record shows both directions of the relationship — what you sold them and what you bought from them — linked to the underlying invoices. When a customer returns with a handset, the sale that produced it is already attached to their profile, including the IMEI of the specific unit.

Credit, outstanding and payment history

Credit given to a party is recorded rather than remembered, and part payments reduce the balance as they come in, so the outstanding figure is always the current one. Credit limits can be set per party to keep exposure in check.

Every payment in and out is kept as history, which means a disagreement about what was paid is answered by the record instead of by recollection.

  • Outstanding amount per party, always current
  • Custom credit limits to control exposure
  • Part payments recorded against the balance
  • Complete payment trail for both directions

Party ledger and complete account statement

The party ledger is the full account between you and that party — every sale, purchase, credit and payment in sequence, ending in the current balance. It is the single document that answers 'where do we stand?' without either side having to reconstruct it.

Because it is built from the transactions you already recorded, the statement is a report rather than an exercise.

Party reports and sharing

Party and account reports can be produced from the same records and shared where needed — useful when settling with a vendor, confirming a balance with a customer, or reviewing which parties account for most of your outstanding.
